Version aup_2026_10_06. Effective October 6, 2026.
This Acceptable Use Policy (“Policy”) describes how the SnapSpend software platform (the “Platform”), owned and operated by Ardenuity, Inc., may and may not be used. It applies to every person and organization that accesses the Platform, whether directly through an account registered with SnapSpend or through an authorized reseller or distribution partner (“Reseller”). This Policy sets out in more detail the restrictions in Section 2 of the SnapSpend End-User License Agreement (“EULA”) and forms part of it. Where a Reseller agreement refers to SnapSpend’s acceptable use policy, this is that policy. If this Policy and the EULA conflict, the EULA prevails.
1. Permitted Use
You may use the Platform to capture, extract, review, organize, and export receipts, invoices, and other financial and accounting records for the lawful internal business purposes of your own organization or, if you provide accounting or bookkeeping services, of clients who have authorized you to handle their records.
2. Documents and Data You Upload
You may upload only documents and data you have the right to process. You must not upload:
- documents or data that were obtained unlawfully or that you are not authorized to share;
- personal information of third parties unless you have a lawful basis to process it under the Data Privacy Act of 2012 (RA 10173) or other applicable law;
- content that infringes the intellectual property, privacy, or other rights of others;
- malware, malicious code, or files designed to disrupt, damage, or gain unauthorized access to any system; or
- content that is unlawful, defamatory, or obscene, or that promotes violence or discrimination.
3. Financial, Tax, and Regulatory Integrity
The Platform is built to record real transactions. You must not use it to:
- create, alter, or process fabricated, falsified, or altered receipts, invoices, or other records;
- support tax evasion, false claims for input VAT, deductions, refunds, or reimbursements, or any misstatement in filings with the Bureau of Internal Revenue or any other authority;
- launder money, conceal the source of funds, or facilitate any other financial crime; or
- misrepresent expenses or transactions to an employer, client, auditor, lender, or regulator.
You remain responsible for reviewing AI-extracted data before relying on it for regulatory filings or financial reports, as described in Section 5 of the EULA.
4. Accounts, Access, and Credits
- Keep your login credentials confidential. You are responsible for activity under your account.
- Each person must use their own account. Do not share accounts or credentials.
- Do not create multiple accounts or organizations to obtain additional free credits, trials, or promotional benefits, or otherwise circumvent usage limits or credit metering.
- Do not resell, sublicense, or provide access to the Platform to third parties except under a written agreement with SnapSpend, such as a Reseller agreement. Accounting and bookkeeping professionals may serve their clients through organizations they administer on the Platform.
- Do not access, or attempt to access, organizations, accounts, or data you are not authorized to access.
5. Security and System Integrity
You must not:
- probe, scan, or test the vulnerability of the Platform, or breach or circumvent its security or authentication measures, without SnapSpend’s prior written permission;
- interfere with or disrupt the Platform, including through excessive or automated requests, denial-of-service activity, or bypassing rate limits;
- scrape, crawl, or extract data from the Platform by automated means, except through interfaces SnapSpend provides for that purpose; or
- reverse engineer, decompile, or attempt to derive the source code, AI models, or algorithms of the Platform, except to the extent applicable law expressly permits.
If you discover a security vulnerability, report it to ezekiel@snapspend.ai and do not access, modify, or share data that is not yours. We welcome responsible disclosure and will work with you on reports made in good faith.
6. Competing Products and Benchmarking
You must not use the Platform, its outputs, or its documentation to build, train, or improve a competing product or service, including a competing AI model, and you must not access the Platform for benchmarking or competitive analysis without SnapSpend’s prior written consent.
7. Enforcement
If we reasonably believe this Policy has been violated, SnapSpend or, where applicable, the Reseller may investigate; remove or disable access to content; suspend or restrict accounts, organizations, or features; or terminate access under Section 8 of the EULA. Where appropriate and permitted by law, we will tell you what happened and give you an opportunity to respond. We may report suspected unlawful activity to the appropriate authorities and cooperate with lawful requests from them, consistent with our Privacy Policy.
8. Reporting Violations
Report suspected violations of this Policy to ezekiel@snapspend.ai. Include enough detail for us to investigate, such as the organization, document, or activity involved.
9. Changes to This Policy
We may update this Policy from time to time. Material changes will be notified through the Platform or by email, consistent with Section 14 of the EULA. The version and effective date at the top of this page show which version is in force.
This Policy forms part of the SnapSpend End-User License Agreement. Your use of the Platform is also governed by the SnapSpend Terms and Privacy Policy.
